Privacy Policy
This Privacy Policy explains how Rugged Lane Industries Pty Ltd ("Rugged Lane", "we", "us", "our") collects, uses, holds, discloses and protects personal information in connection with the Outpost 14 customer intelligence platform and the website at outpost-14.lovable.app (together, the "Platform").
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles ("APPs"). By using the Platform you acknowledge the practices described in this Policy.
1. Information we collect
We collect personal information that is reasonably necessary for us to provide and improve the Platform. The categories we may collect include:
- Name and job title.
- Company or trading name and business address.
- Email address and phone number.
- Billing and payment information (processed by our payment provider; we do not store full card numbers).
- Login credentials and authentication identifiers.
- Account activity, including sign-in events, feature usage, exports and configuration changes.
- IP address, browser type, operating system, device identifiers and approximate location derived from network data.
- Usage data, telemetry, log files and diagnostic information.
- Cookies, pixels and analytics identifiers (see Section 8).
2. Information generated within the Platform
When you use Outpost 14 we generate and store data linked to your account, including:
- Saved reports, exports and stored PDFs.
- Comparisons, saved competitor sets and benchmarking selections.
- Search history and queries you run inside the Platform.
- Report configurations, date ranges and signal preferences.
- Dashboard activity and viewing history.
- User preferences and display settings.
- Subscription records, plan changes and renewal history.
- Credit balances and credit consumption.
3. How we collect information
We collect information directly from you and automatically through your use of the Platform, including via:
- Account registration and sign-in.
- Trial signups and onboarding forms.
- Demo and sales enquiry forms.
- Contact and support forms.
- Newsletter and marketing subscriptions.
- Payment and subscription processes.
- Cookies, web beacons and similar tracking technologies.
- Server logs, telemetry and analytics tools.
- Your interactions with reports, dashboards and other Platform features.
Where it is lawful and practical, you may interact with us anonymously or using a pseudonym, however many Platform features require a verified account.
4. Public review data and third-party sources
Outpost 14 analyses information that is publicly available online, including:
- Publicly available customer review platforms.
- Public business listings and directory information.
- Other publicly available online information about businesses and locations selected by you.
- Customer-generated review content accessible through third-party platforms and their permitted interfaces.
Outpost 14 does not create customer reviews. We do not claim ownership of third-party content. The original review platforms, business listings and individual authors retain their respective rights in that content. We do not verify the accuracy, authenticity or completeness of third-party review content. Where review content contains personal information about identifiable individuals, we process it only to provide the analytical and reporting functions of the Platform.
To retrieve, process and enrich this publicly available information, Outpost 14 may use authorised third-party data collection and enrichment services, including Outscraper. These providers act as data processors on our behalf and are subject to their own terms and privacy practices.
5. How we use personal information
We use personal information to:
- Provide, operate and maintain the Platform.
- Create and manage user accounts and subscriptions.
- Process payments, credits, renewals and refunds.
- Generate reports, comparisons, dashboards and alerts.
- Respond to enquiries, demo requests and support tickets.
- Send service communications, security notices and Platform updates.
- Send marketing communications where you have consented or where permitted by law.
- Improve Platform features, performance, reliability and security.
- Detect, prevent and respond to fraud, abuse and unlawful activity.
- Comply with our legal and regulatory obligations.
6. Artificial intelligence processing
Outpost 14 uses artificial intelligence and machine-learning technologies to:
- Generate written summaries of customer feedback and report findings.
- Identify trends, themes and topics within review content.
- Detect sentiment and direction signals.
- Categorise themes, risks and opportunities.
- Create recommendations and suggested actions.
- Assist with the structure and narrative content of reports.
AI outputs are generated automatically. They may contain inaccuracies, misinterpretations or omissions. You should not rely solely on AI-generated output for business, commercial, regulatory, safety, financial or legal decisions. AI processing may be performed using third-party AI providers (see Section 7). Where we provide content to those providers, we limit the data to what is reasonably necessary to perform the requested processing.
7. Disclosure and third-party services
We disclose personal information to trusted service providers that help us deliver the Platform. These may include, without limitation:
- AI providers: OpenAI, Anthropic, Google (including Google Cloud AI).
- Infrastructure and hosting: Cloudflare, Vercel, Supabase, Lovable, Google Cloud.
- Analytics and monitoring: Google Analytics, Google Search Console, PostHog, Meta Pixel.
- Maps and location data: Google Maps, Google Places.
- Payments: Stripe and other payment processors we may engage.
- Email delivery: Resend and similar transactional and marketing email providers.
- Authentication: identity and single sign-on providers, including Google.
- Data collection and enrichment: Outscraper and similar authorised third-party providers used to retrieve, process or enrich publicly available business information, customer review data and related metadata.
Our service-provider arrangements may change over time as the Platform evolves. We require service providers to handle personal information consistently with this Policy and applicable law. We may also disclose personal information where required or permitted by law, to enforce our Terms of Use, to protect our rights or the rights of others, or in connection with a corporate transaction such as a merger, acquisition or sale of assets.
8. Cookies and similar technologies
We use cookies and similar technologies for the following purposes:
- Essential cookies required to sign in, maintain sessions and secure the Platform.
- Functional cookies that remember your preferences and settings.
- Analytics cookies that help us understand how the Platform is used.
- Marketing cookies that support measurement of campaigns and content performance.
- Performance cookies that help us monitor errors, latency and reliability.
You can manage cookies through your browser settings. Disabling certain cookies may affect Platform functionality.
9. Data retention
We retain personal information for as long as it is reasonably necessary for the purposes set out in this Policy, including to provide the Platform, comply with legal and tax obligations, resolve disputes and enforce agreements. Account information is generally retained while your account is active and for a reasonable period afterwards. Saved reports and exports are retained while your subscription permits. Backups and log data may be retained for shorter, defined periods consistent with our security and disaster-recovery practices. When personal information is no longer required, we will take reasonable steps to delete or de-identify it.
10. Data security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. These steps include access controls, encryption in transit, secure cloud infrastructure, logging and monitoring, and contractual obligations on our service providers. No system is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and notifying us promptly of any suspected unauthorised access.
11. Your rights
Subject to applicable law, you may:
- Request access to the personal information we hold about you.
- Request correction of personal information that is inaccurate, out-of-date, incomplete, irrelevant or misleading.
- Request deletion of personal information where we are no longer required to retain it.
- Withdraw consent to direct marketing at any time.
- Opt out of non-essential cookies through your browser settings.
To exercise these rights, contact us using the details in Section 16. We may need to verify your identity before actioning a request. We will respond within the timeframes required by the APPs.
12. International transfers
Outpost 14 is operated from Australia. Personal information may be stored or processed outside Australia by our approved service providers, including in the United States, the European Union, the United Kingdom and other jurisdictions where those providers operate infrastructure. Where personal information is transferred overseas, we take reasonable steps to ensure that the recipient handles the information in a manner consistent with the APPs.
13. Direct marketing
We may send you marketing communications about Outpost 14 and related services where you have consented or where permitted by the Spam Act 2003 (Cth) and the Privacy Act 1988 (Cth). You can opt out at any time using the unsubscribe link in our emails or by contacting us.
14. Children
The Platform is intended for business users and is not directed at individuals under 16. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.
15. Changes to this Policy
We may update this Policy from time to time. The current version, the "Last updated" date and the version number are shown below. Material changes will be notified through the Platform or by email where appropriate. Your continued use of the Platform after the effective date of an update constitutes acceptance of the revised Policy.
